      The term "contract administration" refers to the process of reviewing a contract after it has been completed. According to Office of Federal Procurement Policy, the purpose of contract administration is to "determine how well the [parties to the contract] performed to meet the requirements of the contract." It is a useful record-keeping tool to help decide whether a party wants to do business with the same people again in the future. Develop a contract administration checklist to help cover the results of the contract.

    Briefly List the "Basics" of the Contract

    • In the first half of the contract administration checklist, provide information such as a brief description of the services provided and the names and addresses of the contractors who performed the work. Include other basic information such as the date the contract began and when it finished. According to the contract review checklist used by Texas A&M University, another component in this part of the contract should be listing any deadlines in the contract and making a note about whether the deadlines were met, as well as providing reasons for why deadlines were missed.

    Budget Issues

    • Contract administration checklists must cover details about the budget of the contract. There should be space in the checklist to include information about the total budget of the contract. Within this section, the total budget amount ought to be broken down into its sources. Sources include loans, bonds, private funds or other financial options. Additionally, the budget portion of the checklist should note whether the project stayed within budget and how much over or under budget the project was at the conclusion of the contract.

    Evaluation of the Results

    • The next section of this checklist should analyze and evaluate the results of the contract. Based on factors such as budget and deadlines, as well as overall quality of the work and professionalism of the parties, the report should make recommendations as to whether the contractors could be used in the future. Note that each contract varies and a separate checklist is essential to each unique contract situation. The contract administration checklist should be tailored to address the issues of each contract.
